Inviting guests via SMS, Email, WhatsApp or URL

Guests can be created for ad hoc remote contributions within the QuickLink StudioManager. Creating a guest invite will send an instant temporary account link via email, WhatsApp, SMS or by generating a link for sharing through any messaging medium.

The QuickLink StudioCall will allow you to contribute bidirectional video/audio to QuickLink. Please note that the QuickLink StudioCall must be opened in Google Chrome, or in Safari if using an iOS device to function correctly.

How to invite a single guest

To invite an individual guest, within the QuickLink StudioManager, select the arrow next to your account name to expand the menu, and select Invite Guest.

Within the Guest invite pop-up, ensure the Single invite tab is selected.

Enter a Name for your guest, it is recommended that this name is friendly as this will be now the guest appears in your QuickLink StudioManager interface.

Next select the delivery method for your invite. The different delivery methods are as follows:

  • Email: sends a URL via an email to an email address entered.
  • WhatsApp: sends a URL as a message within the WhatsApp application to the mobile number entered.
  • SMS: sends a URL within an SMS message to the mobile number entered.
  • Link: generate a URL that can be easily copied and sent via any other communication methods.

The next option is to enter a duration (in hours) or start and end date for your guest invite. There are two methods of achieving this:

  • Setting an expiry time in hours: set in hours to a maximum of 1000 hours. This automatically generates the start and expiry date/times.
  • Start/expiry date: this method allows you to manually select a start and expiry date/time. This automatically generates the number of hours between the two dates. When selecting a start date and time for a future time/date, the guest invite will be sent out as soon as the guest invite is created but will not be active until the entered date/time.

You also have the option to set a specific seat in a room for your guest to connect to without having to drag and drop them into place. 

Click the arrow next to Show Autoconnect Settings to open the options. Note: In order for Autoconnect to work, you need to have this enabled in Settings and Preferences. See the article here for more info.

Use the Select Room dropdown menu to select your room and the Select Position one to choose the seat in that room.

You can also select a Sub account if you have one set up. Leave this set to Main if you want your guest to be invited into your main account.

When sending an invite via email or SMS, an additional feature allowing you to amend the contents of the guest email being sent. This is commonly used to add comments, or give direction to a guest.

The final option to to enable/disable the Assisted Mode feature. Assisted Mode is a step-by-step workflow that ensures you get the most out of your guest contributions. Through a series of instruction steps, your guest contributor is fully prepared, set-up and tested to go into a live environment. As part of these steps, your guest contributor is guided through enabling access to their camera/microphone, configuring their camera, microphone and speaker, and troubleshooting if necessary. The guest contributor also runs through a quick test call to check their network status and that they have the recommended upload speed required.

When you have completed all above steps, click Send to create and send your guest invite.

Once sent, a message will appear to confirm that your guest invite has been sent.

How to invite multiple guests

To invite multiple guests, with the invite guest window open click the Bulk invite tab. Using this you can invite up to 50 guests at a time. 

Firstly, click Download CSV Template to download the bulk invite template file.

Next, open your template file. This template can either be opened in Excel or in Notepad.

In Excel enter the details for the guests you would like to create, including name, email/WhatsApp/SMS & start and end date/time. The Txt field allows you to edit the contents of the sending email. It is also possible to choose Assisted Mode when sending bulk guest invites. To apply this mode, enter 1 into the AssistMode field.

Note: You will need to make sure that Excel is set up correctly otherwise your template will come in with different formatting. You can change the format for the cells very easily if not. 

Once completed, Save and upload your template within the upload area of the Bulk guest invite popup.

Once uploaded, your entered guests will appear. From here you can see all guests included and can easily scroll between each invite to check for errors.

If you have entered an email and a phone number for WhatsApp and/or SMS you can pick one from the dropdown menu. Make sure you've put any phone numbers in with the correct area code. Please also check that no guest accounts contain errors, these are displayed above the Send All button.

Once you're happy with the bulk invite, click Send All
